What is the purpose of this document?

  • For customers; we collect your name and contact details, including telephone number and email address: invoice address and delivery address (if different).

  • In a limited circumstance, your bank details. 
  • For suppliers and prospective suppliers of services to our business, we collect the name, job title and business contact information of your employees and other representatives. 
  • We use the business contact information provided for individual employees and other representatives of our clients and suppliers (including prospective clients and suppliers) to provide updates and information about our services. 
  • We may perform due diligence in the form of credit checks on companies, including checking photographic identification and proof of address of directors and, in some cases, your shareholders, and verifying their identity using publicly available sources, such as companies house. 
  • Name, email, organisation name, address, contents of any messages you send us.

We share your data with third-party service providers, such as our payment service providers, our Website host server, IT support and maintenance service, cloud storage provider and email exchange server and other businesses that provide certain services on our behalf. All of our third-party service providers are required to take appropriate security measures to protect your personal information in line with our policies. We do not allow our third-party service providers to use your data for their purposes.

Facebook and other Social Media Sites 

  • We may share your email address and phone number with Facebook, Instagram, or other social media sites to match your account on our behalf to show you Nutriwaze content while using these services. The social media site may also use this information on our behalf to identify other users of these sites with similar interests whom we believe would be interested in us, for them to be shown Nutriwaze content. We do not receive any personal information from social media sites or see your profile information as part of this process. Please see the relevant social media's privacy policy for more details. 
  • To find out more about this process or prevent this use of your data, you can either contact us directly or do this via the social media site. Updating your preferences on a social media site will not guarantee that you never see Nutriwaze content on social media, since the social media site may select you based on other criteria and without we have provided your data. 

If you fail to provide personal information 
You are required to provide the personal information set out in sections 1 of the table. If you fail to provide certain information when requested, we will not offer our services to you. 
Your duty to inform us of changes 
We want to be sure that the personal information we hold about you is accurate and current.

  • We do not envisage that any decisions will be taken about you using automated means. However, we will notify you if this position changes.

  • We use Google AdWords, provided by Google LLC, to show you relevant adverts and improve the service we offer you. We may transfer information about you outside the EEA for this purpose. We will only do so where permitted by law. 
  • Google LLC complies with the EU-US Privacy Shield Framework set out by the US Department of Commerce regarding the collection, use and retention of personal information from European Union member countries. It is subject to enforcement by the Federal Trade Commission. How long will we keep your personal information for? 

 

  • We will only keep your personal information for as long as necessary to fulfil the purposes we collected it for, including to satisfy any legal, accounting or reporting requirements. 
  • A minimum retention period is required by law (such as retaining records for HMRC purposes). We comply with that minimum period plus up to 12 months to anonymise or delete information by our internal data management processes. 
  • Emails are kept for up to 3 years on our back-up email exchange server. 
  • Information relating to our contract with customers, including payment data, may be retained for up to 7 years after termination of the agreement to allow us to meet our legal obligations concerning our accounting records. 

 

Your rights Under certain circumstances, by law you have the right to 

 

  • Request access to your personal information (commonly known as a "subject access request"). This enables you to receive a copy of the personal data we hold about you and check that we are lawfully processing it. 
  • Request correction of the personal information that we hold about you. This enables you to have any incomplete or inaccurate data we hold about you corrected.

Once we have received notification that you have withdrawn your consent, we will no longer process your information for the purpose or purposes you originally agreed to, unless we are required to comply with another lawful basis that has been notified to you. 
  • Complain to the Information Commissioner's office if you are unhappy with our use of your data: you can do this at ICO. Do contact us straight away if you consider that we are not handling your personal information correctly to try and sort the problem out.

This is another appropriate security measure to ensure that personal data is not disclosed to any person who has no right to receive it. 
If we delete your personal information or restrict our use of it, we may not provide our services to you.
